How File Chase works

A short guide for the bookkeeper. Your client only needs the link you send.

How a client uploads

Your client opens one link. There is no account and no password. On a phone they can take a photo or choose a file. On a computer they can drop a file on the item.

File Chase accepts PDF, JPG, PNG, HEIC photos from recent iPhones, CSV, Excel, Word, and common bank-download files, up to 20 MB each. Larger files upload straight from the browser, and a file over 20 MB is refused before it sends. One file belongs to one checklist line.

After a successful upload the line leaves their list. They only keep seeing what is still missing. If they sent the wrong file, you can clear that line from the client page and they can send another.

Reminders

The first reminder goes out when you add the client. The same note repeats every 3 days until nothing is missing, then it stops. It lists only the files still outstanding.

The client can stop reminders from the link in the email. You can stop them, or turn them back on, from the client page. Turning them back on uses the same 3-day schedule. It does not send a second email immediately if one just went out.

Reminders also pause if your trial has ended and you have not subscribed. They resume after the account is active again.

Downloads and the monthly close

On the client page, download any file that was uploaded. Download zip packs every file that came in during that close. A line you marked received without a file is not in the zip.

The checklist is standing. On the 1st of the next month, in US Eastern time, the same list opens a new close. Files already received stay received. A new line asks for something new. Earlier closes stay downloadable.

Trial and billing

A new account has 14 days. No card is required to start. The countdown is on the clients page and under Settings.

After the trial, subscribe for $69 a month to add clients, edit checklists, upload, and download. You can still sign in and read what you saved. Client links say the link is paused until you subscribe. Nothing is deleted.

Checkout and the billing portal are handled by Stripe. Canceling in the portal stops renewal. You can subscribe again from Settings.

Privacy

Client files are stored privately. The link in the email is the only way a client reaches their own checklist. It does not open another client's files, and a file download requires your signed-in bookkeeper session.

File Chase does not give the client an account. The email they receive uses your practice name and replies to your account email.
